Associate, Finance, and Operations
Intentional Philanthropy (IP) seeks a motivated, service-oriented, and highly organized professional in the D.C. Metro area who thrives on supporting and empowering others to effect positive social change. Reporting to the Senior Director of Finance and Operations, the associate will be in a hybrid position responsible for various Finance and Operations projects. This position is an exciting opportunity for someone living within proximity to our Bethesda office, wishing to work in a fast-paced environment and to learn more about the world of philanthropy, nonprofits, and family foundations.
Intentional Philanthropy is a growing, entrepreneurial company providing grantmaking strategy and implementation, foundation management, and consulting services to family and independent foundations. We help foundations define the change they want to see in the world, develop a strategy to accomplish that change, and vet and evaluate the nonprofits capable of bringing that vision to reality. We work with individuals and families at all stages of their philanthropic journey. We help those just starting as well as those with years of practice.

Critical Responsibilities
Bookkeeping and Finance (Applies to multiple clients and vendors concurrently)
- Account for bank and credit card transactions
- Reconcile bank and credit card accounts
- Prepare monthly and/or quarterly financial reports
- Process grant payment requests, ensuring proper approvals and verifying payment information with grantees
- Process receipts and expense reimbursements for clients and staff
- Ensure all expenses are properly backed up with supporting records i.e., invoices and receipts
- Scan invoices to a virtual team, record invoices in Bill.com/QuickBooks Online, process, print, and mail checks as needed
- Serve as primary contact for staff and vendors concerning accounts payable issues and inquiries
- Additional bookkeeping and accounting duties as assigned
Grantmaking and Meeting Management
- Support the implementation of grant application processes and manage timely and respectful communication with applicants and grantees
- Contribute to meeting- and conference planning on behalf of clients, manage meeting logistics including transportation, accommodations and meals, agenda development, technology set-up, speaker preparation, and participant management
- Support the development of high-quality reports, presentations, and memos as well as content for client meetings such as agendas, grant summaries, budgets, and other board meeting materials using Word, PowerPoint, and Excel
General Operations
- Support the operations team by addressing operations-related requests and coordinating both internally and externally with team leads, clients, grantees, and vendors
- Research and select vendors meeting client specifications, manage vendor relationships
- Actively participate in documenting processes and procedures
- Organize and maintain digital and physical files in accordance with record management policies
- Manage office supplies, coordinate with the cleaning company, and manage minor office maintenance processes, addressing any facility-related needs promptly.
Special Projects
- Support internal data-related projects, particularly those involving Harvest and internal surveys.
- Coordinate internal initiatives, such as employee engagement or communications, in collaboration with Alanna.
- Assist with maintaining and organizing documentation to ensure compliance and easy accessibility.
- Contribute to operational efficiency by ensuring smooth internal processes across the operations team.
Required Skills
- Three or more years of professional experience with finance and/or accounting operations
- Experience with QuickBooks Online, Bill.com, and Excel preferred
- Ability to quickly learn and use new technologies for managing grants and operations, including accounting software and a grants management database
- Works independently with attention to detail, but also enjoys interacting with a team
- Seeks and incorporates feedback and delivers timely work products
- Detail and deadline-oriented
- Strong analytical and problem-solving skills
- Highly organized with the ability to prioritize competing demands

- We benchmark salaries based on field data, considering the responsibilities of the role and the individual’s skills and experience. We ask candidates to include minimum salary requirements to help us ensure we meet your needs and that expectations are within the benchmarked range of $63,000 to $78,000.
- Candidates must be located in the D.C. Metro area. This position requires working one to two days per week in our Bethesda, MD offices, other days may be remote.
